We are currently seeking a dedicated and detail-oriented individual to join our team as a Customer Service Representative and Dispatcher for our local service business.
In this role, you will be the first point of contact for our valued customers, handling inquiries, scheduling appointments, and efficiently dispatching our skilled technicians to address their needs.
Responsibilities:
Serve as the primary contact for customers, promptly answering calls and providing assistance with their inquiries, requests, and concerns in a courteous and professional manner.
Gather and accurately record customer information, service requirements, and job details to ensure effective communication and smooth operations.
Schedule appointments and coordinate with customers to find suitable time slots that align with their availability and our resources.
Dispatch service technicians to job sites, taking into account their skills, location, and availability to ensure timely and efficient service delivery.
Maintain clear and effective communication channels with technicians and service providers, providing them with detailed job information, directions, and any other relevant updates.
Document and update accurate records of customer interactions, appointments, and job assignments in our database.
Follow up with customers after service appointments to ensure their satisfaction and address any outstanding concerns.
Identify and escalate urgent or complex customer issues to the appropriate departments for prompt resolution.
Adhere to company policies and procedures, including data protection and confidentiality guidelines.
Requirements:
High school diploma or equivalent; additional certifications or training in customer service or related fields are a plus.
Proven experience in a customer service or dispatching role, preferably within a local service business is a plus but not requirement.
Excellent verbal and written communication skills.
Strong problem-solving abilities and the ability to make sound decisions under pressure.
Exceptional organizational and multitasking skills to handle a high volume of customer requests and dispatch tasks.
Proficiency in using customer management systems and dispatching software.
Ability to remain calm, patient, and composed in challenging situations.
Flexibility to work in shifts, including evenings and weekends, to ensure coverage.
Familiarity with local service business operations and terminology is desirable.
