Executive Assistant to the Controller

Responsibilities:

  • Maintains and manages the overall administrative support for above executive
  • Manages active calendar of appointments, schedules meetings, coordinates travel.
  • Composes and prepares correspondence, plans itineraries and agendas.
  • Screens incoming calls, sorts and prioritizes calls.
  • As initial point of contact, exhibits a professional and friendly demeanor that reflects the Controller.
  • Assists in all aspects of preparation for meetings.
  • Coordinates and prepares agendas for meetings and distributes notes accordingly.
  • Prepares and reconciles expense reports.
  • Prioritizes and handles various matters proactively, and follows through on projects to successful completion; able to meet deadlines in a fast paced environment.
  • Successfully completes all aspects of deliverables with a hands-on approach.
  • Consistently embodies the characteristics necessary to drive the Company s Purpose, Vision, Values, and DNA.

Qualifications

  • Minimum 3 years experience in supporting a C-level executive, or similar Senior-level executive.
  • Bachelor s degree highly preferred.
  • Proficient in Microsoft Office.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple priorities with excellent attention to detail.
  • Excellent communication, written and interpersonal skills; able to build relationships with staff, clients and external partners.
  • Highly resourceful team player, with the ability to be extremely effective independently.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service.
  • Forward thinker who demonstrates a proactive approach to problem-solving, with strong decision-making capability, and proposes solutions/recommendations.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
